This role reports to the Manager of Programs & Operations and supports all lines of business across the organization. Job Summary

We are seeking an experienced Program & Operations Specialist to support the planning, delivery, and continuous improvement of community-focused programs. This role is well-suited to a professional with strong organizational skills, excellent communication abilities, and high emotional intelligence.

The Program & Operations Specialist works closely with internal teams, facilitators, clients, and partners to ensure programs run smoothly from start to finish. Responsibilities include program coordination, website updates, social media support, research for funding opportunities, and stakeholder engagement.

Key Responsibilities

Program Coordination & Project Support

  • Coordinate and support program planning, delivery, and wrap-up activities

  • Organize program materials, documentation, and administrative records

  • Provide logistical and administrative support to program staff and facilitators

  • Track deliverables, timelines, and action items across multiple initiatives

  • Prepare summary reports and support program evaluation

  • Assist with project management tasks and continuous improvement initiatives

  • Plan, organize, and support program-related meetings and events

Website & Digital Content Management

  • Maintain and update website content using Squarespace or similar CMS platforms

  • Ensure program pages, news updates, and resources are current and accurate

  • Coordinate with internal teams or external vendors on website updates

  • Support accessibility, usability, and brand consistency across digital content

Social Media & Communications

  • Schedule and manage social media posts across identified platforms

  • Develop basic written and visual content to promote programs and events

  • Monitor engagement and support consistent messaging

  • Assist with internal and external communications as needed

Research & Funding Support

  • Conduct research to identify relevant grants and funding opportunities

  • Gather background information and supporting materials for funding applications

  • Track funding deadlines and maintain organized records

  • Summarize research findings clearly for internal use

Client & Stakeholder Support

  • Participate in client and partner meetings

  • Prepare agendas, briefing notes, and follow-up documentation

  • Support relationship management and timely communication

  • Respond to general inquiries related to programs and services

Qualifications

  • Post-secondary education or equivalent work experience in program coordination, administration, communications, or a related field

  • 5+ years of relevant experience in program coordination, project coordination, or administrative roles (or equivalent experience)

  • Strong organizational, time-management, and documentation skills

  • Excellent written and verbal communication skills

  • Experience managing multiple priorities in a remote work environment
    Experience updating websites (Squarespace or similar platforms)

  • Familiarity with social media platforms and content scheduling tools

  • Experience conducting research and summarizing information

  • Strong critical thinking and problem-solving skills

  • Experience working with First Nations, Métis, and Inuit communities

  • Proficiency with Monday.com or similar project management software

  • Proficiency with Canva is required

Preferred Qualifications (Assets)

  • Experience in training, education, or workforce development programs

  • Familiarity with grant writing, funding research, or proposal support

  • Basic graphic design or digital content creation experience

  • Experience supporting Indigenous-led, non-profit, or community-based organizations
